Requesting leave by email

Leavetrack allows you to request leave simply by sending an email. This feature uses AI to understand your request and automatically create a leave booking in your account.

How to request leave by email

To request leave, send an email to requests@inbound.leavetrackapp.com from your registered email address. You can write your request in plain English, for example:

  • "I need to take next Friday off for a doctor's appointment"
  • "Can I book two weeks of annual leave from March 15th to March 29th?"
  • "I'm requesting sick leave for today"
  • "I'd like to book December 23rd and 24th as holiday"

Important requirements

  • You must send the email from your registered email address - the email address that is linked to your Leavetrack account. Requests from unregistered email addresses will not be processed.
  • The AI will extract the dates and leave type from your email, so be as clear as possible about when you want to take leave and what type of leave it is.

Approval workflow

Requests made by email follow exactly the same rules and approval workflow as requests made through the Leavetrack web interface:

  • If your leave type requires approval, the request will be sent to your manager for approval
  • Your available entitlement will be checked and the request will be rejected if you don't have enough leave remaining
  • Any blocked dates or other restrictions configured for your account will still apply
  • You will receive email notifications about the status of your request, just as you would for requests made through the web interface

This makes requesting leave as simple as sending an email, while maintaining all the same controls and approval processes that keep your organisation's leave management consistent and compliant.
